Refund and
Cancellation Policy.

Applies to Protocol Site Recruit ($500), Protocol Site Agent ($1,000), and Protocol Site Director ($2,500).

Payment terms

• ▸A 50% deposit is required before work begins.
• ▸The remaining 50% is due on final delivery.
• ▸Invoices are net 7 days. Work pauses if payment is more than 7 days past due.
• ▸Late payments accrue interest at 1.5% per month after 14 days past due.

Cancellation and refunds

• ▸Before work begins: Your deposit is refundable, less a $50 administrative fee.
• ▸After work begins: Deposits are non-refundable. If you cancel mid-project, you will be billed at $75 per hour against your deposit. Any unused portion is refunded.
• ▸If we cancel: You receive a full refund regardless of work completed.

Work officially "begins" when we send your project kickoff email confirming receipt of your deposit.

Applies to Recruit Care ($49/mo), Agent Care ($79/mo), and Director Care ($99/mo).

• ▸You may cancel at any time by emailing mirza@theaiprotocol.co with 30 days' written notice.
• ▸After cancellation notice, you continue to receive services for the remaining 30 days of your billing cycle.
• ▸No long-term contract. No cancellation fee.
• ▸Care Plan payments are non-refundable. Unused edit time does not carry over.

Applies to Protocol Install Tier 1 ($1,500), Tier 2 ($2,000), Tier 3 ($3,000), and monthly maintenance ($200–$500/mo).

Setup payment terms

• ▸50% deposit before work begins, 50% on completion.
• ▸Includes a 2-week post-install testing period at no charge.
• ▸Includes a 30-day adjustment window for fine-tuning.

Cancellation and refunds — Setup

• ▸Before work begins: Deposit refundable less the $50 administrative fee.
• ▸After work begins: Deposit non-refundable. Hours worked billed at $75/hr against deposit.
• ▸During testing/adjustment: If the install does not perform as specified and we cannot resolve within 30 days, you receive a refund for the unresolved portion.

Maintenance subscription

• ▸Cancel anytime with 30 days' notice.
• ▸Monthly maintenance payments are non-refundable.

Applies to Half Day ($1,500), Full Day ($2,500), Two Day ($3,500), and Custom ($5,000) sessions. Terms apply once Training Day is publicly available.

• ▸Training requires payment in full at least 7 days before the session.
• ▸Minimum 3 to 5 business days of lead time to book.
• ▸More than 7 days before: Free reschedule.
• ▸Within 7 days of session: One free reschedule. Additional changes require a $250 rescheduling fee.

Cancellation refunds

• ▸More than 14 days before: Full refund less the $50 admin fee.
• ▸7 to 14 days before: 50% refund.
• ▸Less than 7 days before: Non-refundable. Credit toward a future training day within 12 months.

• ▸Add-on work must be agreed in writing before we begin, with a written estimate.
• ▸Add-ons are billed at completion and are non-refundable once delivered.
• ▸Out-of-scope hourly work is billed at $75/hr.

• ▸Credit and debit cards (Visa, Mastercard, American Express, Discover) — processed through Stripe.
• ▸ACH direct debit — recommended for invoices over $1,000.
• ▸Cash App Pay, Apple Pay, Google Pay, and Link.
• ▸Wave or Zelle — by arrangement for established clients.

If we cannot resolve a dispute together, this policy and any related service agreement are governed by the laws of the State of Georgia, United States.
